When preparing to onboard with TipHaus, ensuring your data is clean and well-organized will streamline the process and prevent potential issues. Below are best practices to follow before integrating TipHaus with any POS or labor system.

1. Remove Unused Job Codes

Having outdated or unused job codes can cause employees to log into incorrect roles, which may lead to errors in tip distribution. To avoid this:

  • Review all active job codes and remove those that are no longer in use.

  • Consolidate duplicate or similar job codes.

  • Ensure each employee is assigned the correct job code based on their role and responsibilities.

2. Clean Up Sales Item Categories

When configuring tip distribution rules based on sales items, an unorganized list of sales categories can lead to inefficiencies. To improve accuracy and ease of use:

  • Remove obsolete or unused sales categories.

  • Ensure that each sale item is assigned to the correct category.

  • Standardize category names to maintain consistency.

3. Update Employee Lists

Having an outdated employee list can slow down the onboarding process and cause inefficiencies in managing tip distributions. To keep your user list up to date:

  • Remove inactive employees from your system.

  • Ensure that all active employees who need access to TipHaus are correctly added to your POS or labor system with a valid email address on file.

  • Verify that employee roles and job codes align with their current job responsibilities.

4. Verify Payroll and POS Data Accuracy

To prevent discrepancies in tip distribution and payment processing:

  • Confirm that employee payroll information is accurate and up to date.

  • Some configurations with two integrations require payroll IDs to be added to an employee record in the POS or vice versa. Ask Sales or Support if this is applicable to your configuration.

5. Standardize Naming Conventions

Consistent naming conventions make it easier to navigate and manage your data:

  • Use uniform formats for employee names, job codes, locations, and sales categories.

  • Avoid abbreviations or special characters that may cause inconsistencies across systems.

  • Ensure naming conventions align with those used in your payroll and POS systems.

By following these best practices, your onboarding process with TipHaus will be smoother, minimizing delays and potential issues. A well-maintained data structure will help ensure accurate tip distribution, improve efficiency, and enhance overall user experience.
