When a pay period is finalized, it is locked to prevent any further changes to its payroll information. Any rule changes will not affect a locked pay period, TipHaus will not sync any changes made in your POS to data in that pay period, and the ability to make edits to that pay period within TipHaus will be disabled.

If you need to apply a rule to the data you've just unlocked, resync with your POS, or make any edits to the data in a locked pay period, TipHaus allows you to unlock up to two previous pay periods to do so. Once you relock the pay period, a new snapshot of the data will be generated for you to use.

Unlocking The Previous Pay Period

1. First, go to Settings and then the Pay Period Tab. Pay close attention to the "Auto-Finalize After" drop-down menu. Here, you can configure how many days can pass before your pay periods will auto-finalize and auto-lock. Set this parameter to the number of days that makes sense for your payroll process.

The "Auto-Finalize After" drop-down menu lets you select how many days before your pay periods lock and finalize.

2. To allow TipHaus to handle any reprocessing that needs to happen with the POS, simply click the "Unlock" button to unlock the previous pay period. You will be given the option to select an individual or multiple locations to unlock.

3. Once you've unlocked the desired location(s), the Recent Pay Periods field will display the number of locations that are finalized. At this point, you can make changes to your data inside your POS and/or inside of TipHaus to the location(s) you unlocked. Once those changes have been made, you can click the "Finalize Now" button to lock your data again.

4. After clicking "Finalize Now," use the pop-up window to select the location(s) that you would like to Finalize. Enable Resync with Point of Sale if changes were made in the POS or leave it disabled if you only need to reprocess changes made exclusively in TipHaus.

5. Finally, you will see a progress wheel that indicates that your location(s) are being finalized. Once you see the lock symbol, your data has been finalized.

Finalized Pay Periods

TipHaus automatically finalizes pay periods a set number of days after they close. You can configure the auto-finalize delay from pay period settings.

You can also manually finalize a pay period once the pay period ends. The auto-finalize can be treated as a backstop, but finalizing once your payroll administrator has the data they need from TipHaus is a great practice.

When a pay period is finalized, payroll information is locked, and a snapshot of your breakdown report is created. You can download snapshots from the Reporting tab.

If you need to reprocess data after a pay period has been finalized, you can unlock, adjust, and re-finalize the pay period yourself from the Settings tab. We’ll Resync data from your point of sale, recalculate tip distribution, and generate a new breakdown snapshot.
