A step-by-step guide to editing rules mid pay period.

How to Edit Rules Mid-Pay Period

You can edit rules mid-pay period so that part of your pay period is under one ruleset and the other part is under another, but you need to be aware of some things before you jump in and start making changes.

You would like to change the rules mid-pay period for:

  • Fixing a Tip Sharing Rule or Tip Pool distribution percentage without affecting previous dates.

  • Adding or removing job codes to the actual tip-sharing rule distribution without modifying the current rules.

Please Note: No rule adjustments can occur within a locked pay period. If the effective date of the rule is set to a day in a locked pay period, the rule edits will kick back to the earliest unlocked day and no further back.

There are 2 steps to editing rules mid-pay period:

  1. Duplicate your Rule with a new "Effective Date" for the second half of your pay period.

  2. Deactivate the original rule to end on the same "Effective Date" as the duplicated rule

1. Duplicate a Rule for the Second-Half of your Pay Period:

  • Duplicate your rule, make rule changes, and change your Effective Dates:

Find the rule you're looking to change in the middle of your pay period, and then "Duplicate" your rule (screenshot below).

  • Once you duplicate your rule, make the edits to that rule with the changes you're looking to make for the second half of your pay period.

  • Pay close attention to the Effective Date of your new rule! The new rule will take effect on the effective date you choose for the new rule you duplicated.

    • You can see in the screenshot below that we made the "Effective Date" of the v2 rule the same day as the "Deactivation Date" from the rule in the next step. This will make sure all dates in the pay period have an appropriate rule. The edits will automatically kick back to the effective date of your choosing.

2. Deactivate Your Original Rule on the same "Effective Date" as your Duplicated Rule

  • Deactivate Rules: Your current rule(s) need to be deactivated on a specific date, and then the new rule you duplicated must be effective on that same date. The deactivation date is the first day your rule will no longer apply.

    • Find the original rule that you "Duplicated" in the first step above and click "Deactivate/Delete", and apply the same deactivation date as the effective date of the rule you duplicated.

Other Key Notes

  • Last Pay Period: Remember, if you need to edit the past pay period, you must first unlock it in Settings.

  • Reactivate Rules: Need to reactivate? From the Tip Distribution Logic Page, select "Inactive" from the Status drop-down menu, click on the circular green arrow to the right of the rule that you would like to reactivate, choose your effective date, and click the "Yes" button.
