The Earned Tip Access® (ETA®) Page: In-Depth Introduction

This guide provides an overview of the Earned Tip Access® page, actionable steps for its use, and answers to common questions.

The Earned Tip Access® (ETA) page allows you to manage employee eligibility and invitations, track your staff's sign-up progress, and initiate payouts. Easily navigate pay period data and export detailed reports to streamline your tip management process.

Navigating the Earned Tip Access® Page

To access the Earned Tip Access® Page, find it in the left-hand navigation menu of your dashboard. Once opened, you'll see an overview of your organization's ETA program for the current pay period.

  • Filters: Use the Quick Filters to switch between the current and previous pay periods, sort by employee sign-up status, or search for specific individuals by name. You can only export the data for the last five pay periods.

💡Tip: Click on the blue numbers under the "Amount Paid Out" column to see a breakdown of each employee's payout history.


Overview Tab

The Overview tab offers a summary of current and past pay periods. It also allows you to manage your employees' eligibility for the ETA Program.

  • Initiate Payout: Use the Initiate Payout button to process tip payouts for eligible employees. Payouts are available only to employees with active ETA accounts and an available payout amount.

  • Export: Click the Export button to generate CSV reports for the selected pay period. Exported data reflects the current Overview or Payout tab information and is ideal for sharing with accounting teams or maintaining records.

  • Completed Sign-Up: Use the Completed Sign-Up button to approve or deny employee applications waiting for Manager Verification for the ETA program.

Understanding the Columns on the ETA Overview Page

Let’s briefly go over the columns you’ll see here:

  • Eligible Take Home: This amount is their total take-home for the selected pay period or up to date for the current pay period. In this case, we are looking at the current pay period, which will apply to the following columns.

  • Amount Reserved: This is the amount withheld from the organization's ETA payouts up to date for the current pay period. You can choose to pay these amounts by paycheck to cover taxes or use them as a buffer and pay them out at the end of the pay period. In this example, we use 30% withheld. Some organizations withhold a lot less, and others pay out their employees 100%; this is up to the organization.

The Amount withheld is reserved during the pay period to be paid out to employees at the end of the pay period. This buffer is held for missed clock-outs, refunds, rule changes, and other items that may affect what employees are owed at the end of each pay period.

  • Amount Payable: This represents the total take-home amount payable through ETA. Remember, this does not include the “Withheld Amount.” This amount will begin at zero tomorrow because a payout will be made today.

  • Amount Paid Out: This is the total amount the employees have been paid through the ETA program. Again, this amount will start at zero the next pay period.

  • Cash Paid Out: This accounts for any cash handed to an employee in the restaurant, reflecting any amounts input under the employees' shifts in Reporting > Worked Shifts, ensuring those funds arenʼt also paid out via ETA.

  • Available to Payout: The amount paid when a payout is made.

Amount Paid Out Detail

On the Overview tab, click on the blue numbers under the "Amount Paid Out" column to see a breakdown of each employee's payouts.​

Each line represents a payout that was processed by the organization. Inside this breakdown, you can see the following information:

  • Service: The payout method the employee had selected when the payout was processed.

  • Payout Date: The date and time when the payout was processed.

  • Dates Included: The worked shifts that were part of the payout. If you see N/A, it means that the employee did not have hours worked that day, but still had a take-home due to other means, such as peer-to-peer or custom team adjustments.

  • Gross Amount: The amount the employee was owed before fees.

  • Employee Fees: The amount of the HausDirect fee set up by your organization.

  • Net Amount: The amount that was sent after fees were applied. This is the amount that the employee finally received.

  • Take-Home: The current take-home, according to the most recent tip distribution calculations.

❔Why did my employee receive a different amount than what is shown in their take-home amount?

The take-home amount can change if time punches, sales, or shift job codes are adjusted after a payout is made. If an employee receives more or less in tips than their expected take-home amount on an earned tip access payout, a reconciliation process may be in effect.

  


Payouts Tab

The Payouts tab provides a detailed view of all initiated payouts per store/location, allowing you to track, review, and manage payouts with ease. When a payout fails or partially fails (meaning that some employees were paid and some were not) use the payotus tab to understand the reason why it failed and how to troubleshoot it.

  • You can use the search bar to find specific employees and view their payout history.

  • Check Payout Status: You can check the status of each payout—marked as Successful, Partially Successful, or Failed— to ensure all funds are paid. Click on a payout to see more details of the payout.

  • Export Payout History: Click on the blue "Export" button to download a copy of the payout history with the dates that you have selected.

  • By selecting the expanded view, you can see 4 columns for each payout that refer to the ACH pull, including when the ACH was initiated and completed, the bank account from which the funds were pulled, and the ACH status.

Note: You can only initiate payouts for employees with an active ETA account. Tips will be available in your employee's accounts around 5 minutes after initiating the payout. Depending on your organization's settings, tips owed from the previous pay period when the employee signed up for the ETA program may need to be paid outside TipHaus.


Why Did My Last Payout Fail? - Troubleshooting Failed Payouts ​

If you experience a failed or Partially Successful payout, you can click on the payout to access a detailed breakdown. For failed payouts, you can click Show Detail to view the specific error message for each individual's payout.

⚠️Important: Some organizations only allow one payout per day or week, so please confirm your company's payout policy before trying again.
