Ghost Job Codes/Ghost Employees

“Ghost” or “Generic” Job Codes or employees may become necessary to create for various reasons. A “Ghost” or “Generic” Job Code is a job code that is not utilized by a single employee but rather by a group of employees or a method to introduce external sales into your POS. These are most commonly seen for 3rd party delivery orders or online orders, where no single employee will clock in or clock out of that specific job code.

  • An example: All sales are rung up under a single Ghost Bartender employee for all four bartenders working at any given time, which is sometimes done to use the same terminals without logging in and out of their IDs. The sales generated by the Ghost Bartender employee are auto-assigned to a Ghost Bartender Job Code. You can then create a pool that includes all the actual bartenders (using the Bartender Job Code) & the Ghost Bartender Job Code. You would want to set the Ghost Bartender job code to a point of 0 so that they would never go home with any money. They aren't a real person after all.

Why would I need to create a Ghost Job Code?

You can either create a new Ghost Job Code in your POS, and TipHaus will automatically pick it up after 4 am the next day (or manually Resync from the Reporting page), OR you can create a Job Code in TipHaus. This Job Code will only exist within TipHaus.

After you’ve created the Ghost Job Code from within your POS, you can then add the Ghost Job Code to your tip rules or pools and then weigh it to zero. This way, the tip money being collected from online orders can then be distributed to whichever employees you want who is clocked in at that time.

  • For example, you can set the Ghost Job Code to distribute the tips collected from online orders to the employees who helped with that order, such as a Host, Expo, Cook, etc. These orders will usually come into TipHaus as DoorDash Employees or Chowly Employees, and they will not have a Job Code assigned to them. They will indicate that there is a ‘none’ Job Code. You must assign a Job Code at this point for rules to activate.

Ghost Job Codes are generally only assigned to Ghost Employees or fake employees, i.e., “DoorDash” or “Cashier.”
